The Nebula Rosterr Discord bot messages staff directly on Discord about the things that matter to them, adds sessions to your server as events, sends session reminders, and answers slash commands. Nothing is sent until an admin adds it.
What you need
To be a workspace admin.
To be able to add a bot to your Discord server (you need the Manage Server permission there).
Staff need to be in that Discord server to receive direct messages (see "Get Rosterr updates as Discord direct messages (and turn them off)").
Add the shared bot (all plans)
Open Settings > Integrations > Nebula Rosterr Discord bot.
Choose Add the Nebula Rosterr bot.
On Discord's own page, pick your server and approve. The bot asks only for Manage Events and Create Events. Sending DMs needs no permission.
Discord returns you to Rosterr. Rosterr confirms the server with Discord before linking it, so nobody can link a server they do not control.
DMs are on, with every event enabled.
If you see "The shared bot isn't set up on this instance yet", the Nebula team has not configured it. Contact support.
Choose what is sent
For each message you can switch it on or off, and press Send me this to receive an example yourself, so you see exactly what staff get.
Message | Sent to |
Leave approved / denied | The member who asked |
New leave request to review | Everyone who can approve leave (admins, Approve notices, Manage notices), except the requester |
Assigned to a session | The member, when someone else assigns them (including the host slot and assignments made through the API) |
Session reminder | The host and everyone with a claimed slot, once, at the time you choose |
Quota set | Members the quota applies to, except the creator |
Personal goal set | The member the goal is for (not team goals, not goals set for yourself) |
Promotion / demotion / warning / termination | The member the logbook entry is about |
New email (optional per inbox) | The person who turned it on |
Policy reminder (newer documents tools) | Members who have not agreed to a policy |
Reword the messages (Pro and Business)
Each message has a title, message, colour and footer, and placeholders such as {recipient}, {workspace}, {startDate} or {reviewer} that are filled in when it is sent. The editor lists the placeholders each message supports and refuses others. Dates use Discord timestamps, so everyone sees them in their own time zone. A live preview is shown.
On Free the default wording is always used. If a plan lapses your edits are kept but not used until you upgrade. Reset to default always works.
Sessions in Discord and reminders
See "Sessions in Discord: reminders and Discord events".
Use your own bot (Business)
If you want your own bot name and picture:
In the Discord developer portal create an application, add a bot, and add it to your server.
In Rosterr paste the bot's token, press Check, choose the server, and choose Use this bot.
For buttons and slash commands, open the application in the developer portal, go to General Information and set the Interactions Endpoint URL to the address Rosterr shows you.
Rosterr stores the token encrypted and never shows it again. You do not run anything yourself: Rosterr hosts the connection for you.
The bot shows as online in your member list while your plan allows it.
If your plan drops below Business, the link is paused (nothing is sent, and it never falls back to the shared bot on its own). Upgrading resumes it.
Is it working?
The settings page shows Online in Discord, Connecting... or Shows as offline, and an error message if Discord rejects something (for example "Discord rejected the bot's token. Reconnect the bot."). Sync now re-checks sessions and events.
Removing it
Disconnect removes the link, and Rosterr removes the Discord events it created.
