Sessions in Discord: reminders and Discord events

How session reminders, Discord scheduled events and the /sessions and /claim commands work, and how to set them up.

Written by Liam Radford

If your workspace has added the Nebula Rosterr Discord bot (see "Add the Nebula Rosterr Discord bot to your server"), sessions can show up in Discord in three ways.

1. Reminders

The bot sends one direct message to the host and everyone with a claimed slot, a set time before the session starts. Each person is told their own role ("Host", "Crew").

  • An admin chooses the reminder time: 10, 15, 30 (default), 60 or 120 minutes before the start.

  • Every session is reminded once, however often the system checks.

  • To stop reminders, switch the session reminder message off in the bot's message list.

People only get a DM if they share a Discord server with the bot and have not turned DMs off. See "Get Rosterr updates as Discord direct messages (and turn them off)".

2. Discord scheduled events

Under Sessions in Discord an admin can turn on events. Rosterr then creates a Discord scheduled event for each upcoming session.

  • Choose which session types get an event, so a busy Shift type does not flood the server's Events list.

  • Choose where the event points: the session's Roblox game link (the default), or a voice or stage channel in your server so people can see who is in it.

  • The event is named after the session, lasts for the session's duration, and lists the host and who holds each slot.

  • Events cover sessions in the next two weeks, up to 50 at a time (Discord allows 100 per server).

Keeping them in step

Rosterr keeps the events matching your sessions on its own: within a couple of seconds of a change, and again every minute. Sync now forces it.

  • Deleting or ending a session, moving it out of the window, or unticking its type removes the event.

  • A session that has already started keeps its event, and Discord finishes it itself.

  • If someone deletes an event by hand in Discord, Rosterr leaves it deleted. Turning events off and on again starts fresh.

  • If Discord refuses (usually because the bot lacks Manage Events and Create Events), the settings screen tells you, and clears the message once it is fixed.

  • Switching events off, or disconnecting the bot, removes the events Rosterr made.

3. Slash commands

  • /sessions lists upcoming sessions with host and open slots. The reply is public so it can be shared in a channel.

  • /claim takes an open slot. It follows the same rules as the website, including rank requirements.

See "Rosterr bot slash commands (/activity, /quota, /sessions, /claim, /leave and more)".

Problems

  • No events appear. Check the toggle, that the session's type is ticked, that the bot has Manage Events and Create Events, and press Sync now.

  • No reminders. The bot only sends them to people it can message. Also check the reminder message is switched on and a time is chosen.
