Create a policy and track who has agreed (for policy authors)

The policy wizard step by step, assigning it, compliance tracking, shareable links and editing policies.

Written by Liam Radford

Before you start

  • Policies must be switched on (Settings > Features).

  • You need Create policies to make one, Edit policies to change one, and Delete policies to remove one.

  • To see who has agreed you need View policy compliance. To create shareable links you need Manage policies.

The wizard

Choose Create on the Policies page. A five-step wizard asks for:

  1. Basic info: the policy's name.

  2. Content: one of three modes:

    • Internal document: write the text in Rosterr.

    • Upload a file: attach a document (stored by Rosterr).

    • External link: an https address. People must open it before they can agree.

  3. Acknowledgement: whether agreement is required, whether it is a Training Document, the method (signature, type username, type a word, tick box), an optional deadline, and the required word if you chose that method.

  4. Assignment: assign to everyone, or pick roles and/or departments.

  5. Review: check it, then create.

Edit a policy

Open the policy's edit action. You go through the same steps. Departments you chose are kept when you save. If you change the content you can ask people to agree again (see below).

Editing a policy used to wipe its departments when saved from the form. That has been fixed. If you saw a policy lose its departments, check yours.

Track compliance

The Policies page has an Overview with the share of required acknowledgements completed for each policy, and a Compliance view with the overall compliance rate, how many policies are fully compliant, and how many are overdue. For each policy you can see who is pending and the latest acknowledgements.

  • A policy assigned to everyone counts every member.

  • Only people who are still members of the workspace are counted.

Shareable links

Choose the share icon on a policy to Manage Policy Links. You can create a link with a name, an expiry and a description (for example "HR Team Link"). The link opens that policy's page. People still have to sign in and must be allowed to see the policy. You can turn a link off (Inactive), see when it expired, and delete it. Links are optional: assigned people already see their policies on their dashboard.

Delete a policy

Needs Delete policies. It also removes its acknowledgements and links. This cannot be undone.

Newer features

Workspaces with the newer documents tools can keep drafts, see version history, ask everyone to agree again and remind people who have not agreed. See "Drafts, version history, reminders and search for docs and policies".
