Approve or deny time off requests (for reviewers)

How to review leave requests, what approving does to sessions, revoking, and reviewing from Discord.

Written by Liam Radford

Who can review

People with Approve notices can approve or deny requests. Manage notices lets someone edit and remove any notice. Admins can do all of it.

How you find out

Reviewers are notified when a new request arrives, in the bell, by push, and (if the Rosterr Discord bot is set up) by a Discord DM that carries Approve and Deny buttons. The person who made the request is not told about their own request.

Review a request

  1. Open Staff \> Notices.

  2. Find the request under Pending Notices.

  3. Choose Approve or Deny (you may add a comment that the member will see).

When you approve, Rosterr:

  • records the leave as approved,

  • removes the member from any session they host or hold a role in during their leave ("Claimed sessions will be removed"),

  • tells the member.

If your workspace uses a leave allowance, you also see a chip showing how many days they have left.

Revoke an approved notice

Choose Revoke on an active or upcoming approved notice. The notice is marked Revoked and no longer counts as leave.

See who else is away and what will change (newer workspaces)

On workspaces with the newer notice features, each pending request has See who this affects. It shows:

  • the sessions the person will be taken off (hosting or holding a role), and

  • who else is away on the same dates, approved or still waiting, with the share of the team that would be away.

The list is exactly what approval will do, so there are no surprises.

Review from Discord

Pressing Approve or Deny on the Discord message does exactly what the website does. Rosterr re-checks who pressed, that they may review leave here, and that the request is still undecided. It then replaces the buttons with "Approved by ...". If two reviewers press at once, the second is told it is already done.

Lists on the Notices page

  • Active Notices: currently approved periods.

  • Pending: waiting for you.

  • Upcoming: approved but not started.

  • Past and revoked notices are kept for the record.
