How do I create a session? (one-off and repeating)

Step-by-step: create a single session or a repeating schedule, set roles, statuses and the game, and what the overlap warning means.

Written by Liam Radford

You can create a one-off session (a single date and time) or a repeating schedule (for example every Wednesday at 18:00).

What you need

Permission to create that kind of session. Each kind has two permissions: one for scheduled (repeating) and one for unscheduled (single). If the session type list is empty, you do not have permission to create any.

Steps

  1. Open Sessions and choose to create a new session. The page is called Create New Session.

  2. Basic information. Choose the Session Type and, if you want, the Game. Tick the roles that should be in this session. If there are no roles, an admin needs to define them in Settings > Sessions.

  3. Choose Continue to Scheduling.

  4. Scheduling options:

    • For a single session: set the date, the time and the length. Enter them in your local time zone.

    • For a repeating schedule: choose the Frequency (Weekly, Bi-weekly or Monthly), the days it repeats, one or more times, and the duration.

  5. Choose Continue to Statuses and add any statuses (optional).

  6. Create the session.

Add a description to tell people what will happen and any special instructions.

How far ahead repeating sessions are made

Rosterr creates the sessions of a repeating schedule about a year ahead. Weekly gives 52, bi-weekly 26. Monthly sessions fall on the same weekday of the month (for example the second Tuesday), not every 30 days.

Time zones and clock changes

Times are worked out in the time zone of the person creating the session, using your device's time zone. A session set for 18:00 stays at 18:00 on your clock all year, including after the clocks change. (Workspaces on the newer session features get this; older ones used a fixed offset, which put some sessions an hour out after a clock change.)

"Session Overlap Detected"

If your new session overlaps another one, Rosterr warns you before creating it. You can cancel or carry on.

After creating

  • Staff can claim places (see "Claim a place in a session (and assign others)").

  • You can edit, copy, delete or add notes (see "Edit, copy, end or cancel a session").

  • The session can appear in Discord as an event, with reminders (see "Sessions in Discord: reminders and Discord events").

Limits

Free workspaces: 3 recurring session types. Single sessions are unlimited on every plan.
