Review applications and onboard new hires

How to review an application, what each status does, and how accepted applicants become hires you can rank, log and onboard.

Written by Liam Radford

Review an application

  1. Open Applications. The list shows applications with their status and role. Filter by status or role.

  2. Open one to see the applicant (their Roblox and Discord IDs), their answers, and a review panel. If the answers look wrong, a Raw data from Staffr section shows exactly what Staffr sent.

  3. Set a status: Pending, Reviewing, Accepted or Rejected. (Withdrawn belongs to the applicant.)

  4. Add a reviewer note. Notes can be saved on their own.

Changing a status normally sends the applicant Staffr's usual Discord message. Untick Tell the applicant if you do not want that.

You need Review applications to change a status, and the Staffr key must have the applications:write scope.

Onboarding a hire

When an application is accepted it becomes a hire under Applications > Onboarding. A manager opens the hire and chooses what to do. All of it is optional, and nothing changes until you confirm:

  • Rank them in the Roblox group into the role connected to that job.

  • Add a logbook note ("Hired via Staffr as ...").

  • Start their onboarding checklist, which you tick off on the hire's page.

Managers (admins, and anyone whose role can review applications) get a notification when a hire is ready.

Onboarding plans (admins)

For each job, under Settings > Integrations > Staffr applications, you can set an onboarding plan: the Roblox role, a checklist (one item per line, up to 20), and an Onboard automatically switch.

Safety rules for ranking

Ranking someone in a Roblox group is hard to undo, so:

  • It needs Logbook: use ranking integration (or admin) and the same rank ceiling as the logbook: you cannot set someone to a rank at or above your own.

  • A Roblox role that belongs to a Rosterr role granting Admin, or the owner role, is protected: only a workspace admin can rank into it, never automatically.

  • The applicant must already be in the Roblox group.

  • If ranking fails, nothing else happens: no logbook note, no checklist. The hire stays in the queue with the reason shown. If automatic onboarding fails, a manager is notified to take over.

  • Two people onboarding at once cannot double up: there is one logbook note and one checklist per hire.

If the application changes

If an application moves off Accepted in Staffr before anyone onboards it, the hire is dismissed automatically (an already-onboarded hire is left alone). If it is accepted again, the hire reopens.
