Each member's profile has a logbook (also called the book or userbook): a permanent record of notes, rank changes, warnings and terminations for that person in your workspace. It is described on screen as "Log performance, rank changes, warnings, and other important updates", with a History timeline.
Entry types
Entry | Use it for | Permission needed |
Note | Anything worth recording | Logbook: note |
Warning | A formal warning | Logbook: warning |
Promotion | Moving someone up | Logbook: promotion |
Demotion | Moving someone down | Logbook: demotion |
Rank change | Setting an exact rank | Logbook: promotion |
Termination | Ending someone's time on the team | Logbook: termination |
Resignation | Recording that someone left | Logbook: resignation |
To see entries you need Logbook: see entries. To hide the content of an entry you need Logbook: redact entries.
Add an entry
Open the member's profile.
Choose Add Entry.
Choose the type, write the reason or notes, and save.
For a promotion, demotion, rank change or termination, you may also be offered to change their rank in Roblox at the same time. That needs the ranking integration (see "Connect a ranking service for promotions and demotions (Open Cloud or RankGun)") and Logbook: use ranking integration.
Safety rules (these are enforced)
You cannot do it to yourself. "You cannot perform actions on yourself."
You cannot act on people of equal or higher rank than you, unless you are a workspace admin.
You cannot set someone to a rank at or above your own, unless you are a workspace admin.
If the Roblox ranking fails (for example the person is not in the group), no entry is written, so the logbook never claims something happened that did not.
What the member is told
They get a notification about warnings, promotions, demotions, terminations and resignations. Notes do not notify.
On a phone lock screen, warnings, demotions and terminations only say "you have a logbook update". The details are inside the app.
If your workspace uses the Rosterr Discord bot, or Bloxlink, they can also get a Discord DM. You choose "Notify users via Discord DM" when you add the entry.
Redact and delete
Redact hides an entry's content from people who should not read it, without deleting the record. People with the redact permission can also un-redact it.
Delete permanently removes an entry and only the workspace owner can do it. Redact is the normal tool.
Terminations and the member's roles
When a termination is ranked successfully through the ranking integration, the person's workspace roles are removed too. If you use mass actions, you may also kick or ban them from your Discord server (see "Mass actions on the Staff page (promote, warn, terminate, award minutes)").
Logbook entries and deleted accounts
If a person deletes their Rosterr account, entries about them are deleted. Entries they wrote about others stay, showing "Deleted User" as the author.
