Session permissions explained (what each one lets someone do)

The nine session permissions, how they apply separately to shifts, trainings, events and other sessions, and common combinations.

Written by Liam Radford

Session permissions are set separately for each kind of session: Shift, Training, Event and Other. In Settings > Permissions, the Sessions group has one section per kind, and each has the same nine permissions. A role can, for example, claim Shift sessions but only see Training sessions.

The permission names look like sessions_shift_claim. In the role editor they read like "Assign self to shift sessions".

Permission (in the role editor)

What it lets someone do

See [kind] sessions

See those sessions in the schedule. Without it they do not appear at all.

Assign others to [kind] sessions

Put other people into the roles of a session, and change its host.

Assign self to [kind] sessions

Take a role in a session for themselves (claiming). Also lets them remove themselves.

Create unscheduled [kind] sessions

Create a single (one-off) session of that kind.

Create scheduled [kind] sessions

Create a repeating schedule of that kind.

Manage [kind] sessions

Edit and cancel any session of that kind.

Add notes to [kind] sessions

Write notes on a session.

Assign tag to [kind] sessions

Put a tag on a session.

Edit concluded [kind] sessions

Change a session after it has finished.

Workspace admins have all of them automatically.

The wording "scheduled" and "unscheduled" in the permission names is older than the screens. In the session creator, a single session needs the unscheduled permission and a repeating schedule needs the scheduled permission.

Common combinations

  • Ordinary staff: See + Assign self (claim). They can find sessions and take a place.

  • Hosts / trainers: the above plus Create unscheduled, Add notes, Assign tag.

  • Session managers: everything including Assign others, Create scheduled and Manage.

  • Observers / auditors: See only.

The built-in role presets (Member, Trainer, Moderator and so on) already contain sensible combinations. See "Create and edit a role (and choose its permissions)".

What if someone cannot see any sessions?

Either they have no See permission for any kind, or there are no sessions of the kinds they can see. Check the role in Settings > Permissions.
