Claim a place in a session (and assign others)

How to take a role in a session, hand it back, and how managers assign other people.

Written by Liam Radford

Each session has roles (slots) such as Host, Co-Host or Trainer. You claim one to say you will be there.

Claim a role

  1. Open Sessions and choose the session.

  2. Find an open slot in the role you want and select it, then choose yourself from the list of people. (The host slot works the same way.)

  3. You are now in the session. It appears on your Home page on the day.

You can claim only if all of these are true:

  • You have the Assign self to ... sessions (claim) permission for that kind of session.

  • If the role is limited to certain ranks, your rank is one of them.

  • There is a free slot.

To give a role back, select the slot and choose to remove yourself from it. People with the claim permission can always remove themselves.

A warning about clashes

When you or someone else is put in a role, newer workspaces check whether that person already hosts or holds a role in another session at the same time. If so you see a warning such as "Sam is already booked at that time". The warning never blocks you.

Assign other people

People with Assign others to ... sessions can put someone else into a role, or change the host, from the session card. Choose the slot and pick the person.

  • The person is told by a notification, and by a Discord DM if your workspace uses the bot. You are never told about your own claims.

What happens if my leave is approved

Rosterr takes you off any session you host or hold a role in during your leave. The approving manager is shown who will be affected before they decide (in newer workspaces).

Claim in Discord

If your workspace has the Rosterr bot, you can use the /claim slash command. It follows the same rules as the website. See "Rosterr bot slash commands (/activity, /quota, /sessions, /claim, /leave and more)".

Common problems

  • You cannot select a slot. Your role lacks the claim permission for that kind of session, or your rank is not allowed for that role. Ask an admin.

  • The slot is full. Ask the host to add another slot or assign you.
