Turn on Mail for your workspace (admins): short name, sender name, signature and rules

How to set up Mail: choose the permanent short name, set the sender name, signature, lowest rank, internal-only mode and the address list.

Written by Liam Radford

Mail is off for a workspace until an admin turns it on. Admins, and roles with Manage mail (or Manage features), can open Settings > Mail.

Step 1: choose the short name (permanent)

Open Mail in the menu as an admin. The set-up screen suggests a short name from your workspace's name and checks it as you type. It must be:

  • letters, numbers and hyphens, between 2 and 30 characters,

  • not reserved (admin, abuse, support, rosterr, roster and a few more),

  • not already used by another workspace. Names are first come, first served across all of Rosterr.

The short name cannot be changed once Mail is on, because it is part of every address. The screen warns you. For example "Nebula Technology Solutions" can simply be "nebula", giving [email protected].

Step 2: settings

In Settings > Mail:

  • Sender name: how your email shows as the sender. The default is "Username @ Org". You can use {name} and {org}, for example {org} Staff: {name}.

  • Signature: a closing added under every email. You can write it once and use placeholders filled in from the sender's profile: {name}, {username}, {role}, {department}, {manager}, {org}, {rank}, {timezone} and {inbox}. A line whose details are all empty is left out. Tick Enforce to make it compulsory.

  • Who can use Mail (lowest rank) (newer Mail): pick a Roblox group rank; only members at or above it get Mail (see "Mail needs a higher rank: why you see it and what an admin can do").

  • Only inside the workspace: when on, an email can only go to members and shared inboxes of the workspace.

  • Address list: whether everyone's name appears in the Address list (a member can also hide themselves).

  • Shared inboxes: create up to 25, and choose who can read each (see "Shared inboxes as a help desk (assign, status, notes)").

Turn Mail off

Admins can turn Mail off for the workspace. Incoming mail is then turned away.

Who needs what

  • Manage mail lets a role change these settings and make shared inboxes without being an admin.

  • Workspace admins always have Mail, so nobody can lock themselves out.

Limits to know about

  • At most 20 recipients per email, 20,000 characters and a 200-character subject.

  • Sending to new people per day depends on your plan (see "Mail sending limits: how many people you can email each day").

  • Each inbox has 100 MB of room for attachments.
