Alliances: record partner groups, representatives, notes and visits

What alliances are for, how to add one, who the representatives are, how to log visits and events, and what each permission allows.

Written by Liam Radford

An alliance is a partner Roblox group your group works with. Rosterr keeps a record of who looks after the relationship, notes about it, and the visits and events you have together.

Alliances are switched on by default in a new workspace. An admin can switch them off under Settings > Features.

The Alliances page

Open Alliances in the menu. Each partner group is shown with its icon and name, and its representatives. Choose Manage to open one.

Add an alliance

You need Create alliances.

  1. Choose Create new alliance.

  2. Enter the partner group's Roblox group ID. Rosterr checks it exists and takes its name and icon from Roblox.

  3. Choose at least one representative from your team ("Minimum 1 representative required"). Representatives are your staff who look after the relationship. They need to be people who can be named as representatives (the Represent alliance permission).

  4. Choose Create Alliance.

What you can record on an alliance

On the alliance's manage page:

  • Alliance information: the partner's Discord server invite link (it must be a discord.gg or discord.com/invite link), our representatives, and their representatives (a list of names).

  • Notes: free text for anything worth remembering.

  • Scheduled events (visits): a log of alliance visits and events. For each: a name, date and time, Event Type (Alliance Visit or Alliance Event), a description, our role (Host or Attending) and attendees.

Each visit counts for quotas that measure alliance visits, and appears in the Alliance Visits column of the Staff page.

Who can do what

To...

You need

Add or remove an alliance

Create alliances / Delete alliances

Change the details (Discord server, their reps)

Edit alliance details, or be one of that alliance's representatives

Change who represents it

Assign alliance representatives

Write, edit, delete notes

Add notes / Edit notes / Delete notes, or be a representative

Add, edit, delete visits

Add visits / Edit visits / Delete visits, or be a representative

An alliance's own representatives can manage its notes, visits and details without extra permissions. Only people with Assign alliance representatives can change who the representatives are.

Newer: export visits

Workspaces with the newer settings tools have an Export visits button that downloads every visit from the last 90 days as a spreadsheet (people who can edit visits or alliance details).

Delete an alliance

Choose Delete Alliance and confirm. This cannot be undone.

Common problems

  • "Alliance was not created." The group ID may be wrong, or you named no representatives.

  • I cannot find Alliances. It may be switched off, or your role has no alliance access.

  • The Discord link is refused. Use a discord.gg or discord.com/invite address.
