How do people join my workspace and get their roles?

How Roblox group ranks map to Rosterr roles, how people appear in the workspace, and what a manual role does.

Written by Liam Radford

A workspace is linked to one Roblox group. Roles in Rosterr decide what each person can do. You connect Roblox group ranks to Rosterr roles, and Rosterr keeps people on the right role as their rank changes.

The two ways someone gets a role

  1. By their Roblox rank (synced). In Settings > Permissions you open a role and tick which Roblox group ranks belong to it. Anyone in the group with one of those ranks is given that role.

  2. Manually. An admin can add a person to a role by hand, from the Users list in Permissions.

Connecting ranks to a role

  1. Open Settings > Permissions and choose a role (or Add Role to make one).

  2. Under Group-synced roles, tick the group ranks that should belong to this role.

  3. Each rank can only belong to one role. If a rank is already used by another role you will see "This rank is already assigned to another role".

  4. Save.

Use Sync Group to pull the latest members and ranks from Roblox. This needs the workspace's Roblox Open Cloud key (see "How do I create a workspace for my Roblox group?").

The Owner role is special: its name, permissions and rank connections are managed automatically and cannot be changed.

Adding someone by hand

In Settings > Permissions, open the Users list and choose Add User, then give them a role. A person added this way is excluded from automatic sync, so a later change to their Roblox rank will not move them. To put them back under automatic management, use Resync on their row: Rosterr re-queues them and they are moved to the role that matches their current rank.

Removing someone

Choose Remove User on their row. You cannot remove yourself. Removing someone takes their role away; it does not remove them from the Roblox group.

What a person sees when they arrive

They sign in (see "Sign in with Discord and Roblox (and link both accounts)"), pick the workspace, and see the items their role allows. If they hold no role they will not see the workspace.

Common problems

  • Someone is in the Roblox group but not in the workspace. Check that their rank is ticked on a role, then press Sync Group.

  • Someone has the wrong role after a promotion. If they were added manually they are not synced. Use Resync.

  • Two roles need the same rank. Not possible. Give people the combined permissions in one role, or add some people to the second role by hand. (A person with several roles gets the permissions of all of them added together.)
